A structured and sharable digital archive: file control has never been easier

Services

Company description

Our client is an industry-renowned multinational company that manufactures and markets a wide range of high-quality consumer goods in more than 100 countries. It boasts prestigious brands in the food, home care and body care categories.

The Challenge

The client's main challenge was to easily sort and search a large number of digital assets from different sources, which had to remain visible only to the respective team. The digital assets were unevenly distributed and uncategorised. Furthermore, there was a need to share promotional materials between headquarters and foreign branches by abolishing the use of non-institutional third-party e-mails and software. They needed a system that was easy to learn, that could efficiently handle all file formats they used, and reduce the time needed to share the right resources, with the right team and to the right foreign branch.

Our Solution

DAM (Digital Asset Management) implemented by tk.digital was the ideal solution for the customer, as it made it possible to:

  • centralise all assets in one platform;
  • have complete control of the digital archive and its sharing between different brands and in different foreign branches;
  • use permissions and metadata that allow different teams to easily monitor and search for assets;
  • zero in on the problem of duplicate assets

Teams upload, edit and share their digital assets in complete autonomy.

Achievements

The use of a single platform made it easier for users to search for documents in the digital archive and to distribute promotional material worldwide. The structured management of different file formats enabled users to always have the latest version and history available. The function of editing files in checkout directly in the platform, with the applications with which they were created (InDesign, Word, Photoshop, Power Point, etc.) cancels local copies of documents and the workstations remain free and efficient. Thanks to the stakeholder approval function, the need for phone calls or e-mail exchanges is eliminated. External suppliers can upload material directly into the DAM via private links, eliminating the use of a variety of third-party software. All day-to-day processes are simplified using a single tool.
